Preparing for your restoration project

Estimates are made on a ‘best endeavours’ basis and is a price for all the Works on the schedule (subject to unforeseen Variations).

Draught proofing related items attract a reduced 5% VAT rate. All other items are charged at the standard VAT rate of 20%.

Clearly, at survey, it’s impossible to investigate problems in thorough detail before being commissioned for Works, as this may require partially dismantling the window. Sometimes problems have been concealed by previous occupants, or are quite simply unforeseen due to limited access to the windows. This is in the nature of window restoration, so please allow for the possibility of additional processes becoming necessary once the project is underway.

Our team will attempt to bring any additional work to your attention as they come to light along with the additional cost that may be incurred. Any variations will be agreed with you first and documented on a Notice of Variation. We always aim to keep these costs as low as possible, while maintaining a high standard of workmanship and ensuring that long-lasting repairs are completed. In every case, we will ask you to sign a Satisfaction Notice as a final certificate.

New joinery and double glazed inserts, bespoke projects

At the time of survey, measurements are taken for pricing purposes only. The cost of a measure-up visit for new joinery, double glazed units and templates for shaped glass is included in the price of your estimate. This will be arranged at the earliest opportunity after your commission is accepted.

In some instances, it may be necessary to take out the windows in order to take accurate measurements or to assess the work involved in more unusual, bespoke requests. This will mean that the window may be boarded or screwed shut until the project can be completed.

In the case of bespoke projects, or (rarely) when providing new joinery, it may be that the estimate needs to be adjusted for additional costs should unforeseen details come to light. You will of course, have the opportunity to change your mind at this point if the additional costs are far more than we anticipated in our original estimate. In this case, your deposit will be refunded, minus the cost of a visit to return your window to re-glaze and restore your window to the condition in which it was found.

Chargeable items not included in the Estimate.

Paxton believes minimising costs for our customers by treating them as individuals. Our experience shows us that a “one price fits all” policy of pricing is not fair to all customers where hidden costs may not be relevant to each case.

This means we keep our pricing transparent by itemising all identified work on the windows and why items such as parking permits and fees, congestion charging, bay suspension and waste removal are not included on our estimates but added, where applicable, at cost, at the point of final invoice.

We may also charge for additional travel time and petrol for any work outside our core geographical areas; please ask for more details.

Preparing for the Project

We do of course, allow for a certain amount of time to prepare your home for the project, however you will be charged for any time we spend on preparation which we consider you could have reasonably undertaken. These expectations are outlined below.

Parking

Where there is restricted parking you must provide sufficient permits for all day parking for all vehicles. Different Local Authorities have different policies with regard to parking and permits. Please help our logistical planning by discussing, offering and/or obtaining any relevant permits as soon as feasible after commissioning works.

Waste Removal Permit

A project generating large amounts of waste may require a skip on site. Therefore an advance permit may need to be procured from the local authority by you. We will let you know if a skip is likely to be required and discuss the logistics and cost with you as needed.

Scaffold

We can provide budgetary estimates for Scaffolding to include netting and alarm systems for safety and security. However, you are free to select your own contractor as required.

Your Home

We will need working space inside to prevent delay from bad weather and use tarpaulins and dust sheets to protect the surfaces in each area we are working in. If possible please allow for clearing one room (per floor) so that work trestles can be set up for the duration of the Works. Please clear the window area in every room including: removal of objects, curtains, blinds and nets, and services such as phone and media cables away from the working area. If we are obliged to remove and replace these we are not liable for any damage.

What do I do next?

If you decide to accept the estimate, please check that our lead times are suitable for your project timings. Then sign and return the estimate by fax, email or post with a 40% deposit, due at this stage. For BACS the Paxton Restoration Ltd bank account.

What happens then? Your Order will then join our Commissions Queue, the lead times for which vary seasonally. We will give you an indicative time and a firm date as you rise to the top of the Queue, agreed at your convenience. We will be in touch to verify choices of window furniture and paint colour if appropriate.

A further 30% of your Estimate is payable on the day of Paxton’s arrival of the project.

When the Project concludes it is recommended that you or a representative is available for final inspection to sign off the completed Works and offer payment.

· WE EXPECT FULL PAYMENT OF THE ESTIMATE ON THE FINAL DAY BY BACS OR CHEQUE HANDED TO THE TEAM.

· If needed, we can always generate a second Invoice to account for any adjustments, additional items and sundry expenses once they have become clear.

· Any snags will be duly completed.

· Disputes are managed within a strict time frame, as per our full Terms and Conditions, which are available on our website or upon request.

· All workmanship is guaranteed for one year and joinery for five years.

You will be charged per bag for waste removal, which is carried out by a licensed waste removal contractor at the earliest opportunity after the completion of your project.
